Document Controller

Overview: We are seeking a meticulous and organized Document Controller to join the team for an industrial building project. The ideal candidate will be responsible for managing all project documents, ensuring accuracy, efficiency, and compliance with regulatory standards. This role requires strong attention to detail, excellent organizational skills, and the ability to work effectively in a fast-paced environment.


  1. Document Management:

    • Receive, distribute, and track all project documents (drawings, specifications, correspondence, reports, etc.).
    • Maintain an organized electronic and physical filing system for easy retrieval and reference.
    • Ensure all documentation complies with company standards and industry regulations.
  2. Version Control:

    • Maintain the latest revisions of all drawings and specifications.
    • Track changes and updates to documents and communicate these changes to relevant stakeholders promptly.
  3. Distribution and Coordination:

    • Coordinate document review, approval, and distribution processes with project teams, clients, subcontractors, and consultants.
    • Facilitate efficient communication and information flow between all parties involved in the project.
  4. Quality Assurance:

    • Perform regular audits to ensure document quality, accuracy, and completeness.
    • Verify that all documents are properly formatted, signed, and adhere to established protocols.
  5. Reporting and Updates:

    • Prepare regular status reports on document control activities.
    • Provide timely updates to project managers regarding document statuses, issues, and resolutions.
  6. Training and Support:

    • Provide guidance and training to project team members on document control processes and best practices.
    • Act as a point of contact for document management queries and support requests.


  • Bachelor’s degree in Engineering, Construction Management, or related field preferred.
  • 5 years+ proven experience as a Document Controller in the industrial sector preferably Data Center.
  • Proficiency in document control software and Microsoft Office Suite (Excel, Word, Outlook).
  • Strong understanding of document management best practices and industry standards.
  • Excellent communication skills, both verbal and written.
  • Ability to prioritize tasks and manage time effectively.
  • Attention to detail and accuracy in work.
  • Knowledge of relevant regulatory requirements and compliance standards.
